Terms & Conditions


By registering with The Casting Room and agreeing with the Terms and Conditions, you agree to follow all listed below.
 

1. How to apply
   1.1 The application process includes completing an online Registration Form for free, signing the Contract for Services and completing the Medical Questionnaire. Upon completion of these forms, you will be included in our Talent Database.
  1.2 By making an application:
     1.2.1 you are not doing so as an employee;
     1.2.2 you are responsible for your own tax and national insurance as self-employed. The Casting Room will not be held liable for any discrepancies with HMRC and will submit all invoices should they be requested;
     1.2.3 you have the relevant right to work documents that allow you to legally work in the UK and must submit these during the registration process;
     1.2.4 you don’t have any unspent criminal convictions;
     1.2.5 you are not on the sex offenders register and you have never been subject to any disciplinary action or sanction relating to vulnerable groups.
     1.2. 6 you agree to apply and submit a DBS check should it be requested by The Casting Room or any production company
     1.2.7 you agree that The Casting Room may publish your details and portfolio on our website or forward it to any production companies or clients of The Casting Room in order to contact you with offers of booking and castings;
  1.3 Your registration will be approved once all relevant checks have been completed and all relevant documents obtained, including proof of bank and right to work documents.
  1.4 Completing the registration form does not automatically guarantee you will be approved. We reserve the right to refuse your application and remove you from our database without notice.
  1.5 We make no guarantee that you will receive job offers.

2. Your personal data
  2.1  Under the Data Protection Act 1998 and GDPR 2018, The Casting Room acts as the data controller in regards to all personal details it holds. Your personal data will be used solely for purposes related to this contract, or as agreed or permitted by law, including contacting you with production companies, and other services related to your bookings. We will not sell, license or trade your personal information to any third party,
  2.2  You are responsible to update The Casting Room in regards to any changes to your personal information, including telephone number, email and address.
  2.3  You are responsible to update The Casting Room with any changes of look and send new headshots that correspond with your current appearance.
  2.4  All banking information must be kept up to date and the account holder must be the same person as the Talent that registered with The Casting Room. We are not responsible for checking details for accuracy or retrieving any payments made to a wrong account due to incorrect information submitted by the Talent.
  2.5  You are able to request removal from our database at any given time. However, we will keep a record of all invoices paid for 1 year after removal for tax purposes.

3. Fees
  3.1  It is completely free to register with The Casting Room.
  3.2 We deduct a 15% commission fee from all bookings, unless otherwise stated in writing.
  3.3 The Casting Room does not pay travel or accommodation costs and will not reimburse any canceled bookings at production companies’ request.

4. Bookings
  4.1  After a booking offer has been discussed and approved by you verbally, you will receive an email with booking information. In order to accept the job, you must reply to the email. Failure to do so might result in finding a replacement for the booking.
  4.2 If you have accepted a booking and are no longer able to attend, you must inform The Casting Room as soon as possible.
  4.3 If you don’t attend a booking without any notice to The Casting Room, we will remove you from our database. You can report your non attendance by:
     4.3.1 sending an email to office@thecastingroom.co.uk; or
     4.3.2 texting or phoning the Casting Coordinator that has arranged the booking for you.
  4.4 Production companies may request you to sign an NDA or Global Agreement. Failure to do so can result in release from the booking and no payment.
  4.5 The Casting Room cannot be held liable for any injuries, damage or loss of personal possessions when traveling to and from booking locations.
  4.6 Any queries about a booking must be made to The Casting Room, and not the production company.

5. Confidentiality
  5.1 The work you do on any project is confidential. You are not allowed to take videos, photographs or sound recordings on-set or to share information to any journalist, newspaper, magazine or other publications. You are also not allowed to post information on any website, blog or social network.
  5.2 You must not make direct contact with any member of the production team regarding booking or future work.

6. Payments
  6.1 The Casting Room will be responsible for invoicing and collecting all fees from production companies on your behalf. These fees will be paid into the bank account of The Casting Room and will be distributed to you using BACS.
  6.2 Payments from production companies can take between 4 - 12 weeks.
  6.3 You are registering with The Casting Room as self-employed, not as an employee of the Agency. The Casting Room will not be responsible for your tax and national insurance payments.

7. Contract Termination
  7.1 The Casting Room has a right to remove you from their database with no notice at any time.
  7.2 You are free to request removal from our database at any time. We will continue to pay any outstanding fees (subject to production companies’ approval). A record of all invoiced paid to you will be kept for 1 year after removal for tax purposes.

8. General Information

   8.1 The Casting Room has the right to update the legal documents on their website without specific notice to you. This included our Terms and Conditions and Privacy Policy.
  8.2 We will not tolerate any discrimination of age, colour, culture, educational level, ethnicity, family status, gender identity and expression, immigration status, mental and physical ability, national origin, neurodiversity, political belief, race, religion, sex, sexual orientation, size, social and economic class to any member of our Staff, Talent, Clients, Production Companies or Crew. Such behaviour will result in the immediate removal of your profile from our database.
  8.3 Everything mentioned in these Terms and Conditions and the interpretation or enforcement of it, and any other matters or disputes arising in connection with it, will be governed by Scottish and English Law.
